There are several critical details that every electrician should include on their invoices, including:
Include your electrical company’s name, phone number, email address, and company website. This is a good place to include a short summary of your company and services, including emergency repair services.
Provide a name and at least an email address and a phone number for the person or company you serviced. A physical mailing address is nice to have, too.
When assigning your electrical invoice template, make sure it’s clear who the bill is from and who it is to. Come up with a numbering system that makes sense for your electrical business and helps you stay organized. If you're using a Microsoft Excel sheet as a ledger, you may find that the simplest is chronological—use the next number in the numerical series. But that may not be intuitive and can quickly become a mouthful. (You don’t want your clients or your team to refer to invoice #492485720934.) You can work around this by breaking your invoice number into multiple parts, like using a unique client number with a variable project number. For example, when your client (customer number 18) hires you for another project—the third one this year—you could list that on the service invoice as #18-0003.
This should be the day you sent the bill, not the day you created it. Make sure your invoice date, payment terms, and due date line up: If your payment terms are 30 days, then the due date should be exactly 30 days from your invoice date. Use this date format to solve for international differences: Month (spelled out), date, year. (Example: December 28, 2023)
Be as clear as possible when describing the electrical service you provided on your invoice template. Include relevant details of work performed, materials purchased, date of service, and job duration. For example, you may want to say something like, “Installed a crystal chandelier in the main foyer on Saturday, December 15 – 2.5 hours total.” Being descriptive lets your client know what the invoice template is for, and that can save you time in follow-up questions.
Invoicing as an electrician is similar to other service-based businesses. You can quote customers with an upfront price and then bill upon completion. Say, for example, a customer wants to create a new outlet in their pantry closet. You visit the customer’s home, get a better understanding of the job, and quote them for $1,000, which includes parts and labor. Once you complete the work, you then send the invoice for $750 immediately, with payment terms of 7 business days.
However, for larger jobs that may take days, weeks, or longer and/or require specific tools and materials, electricians can consider a partial payment before the job begins, with the remaining balance due at completion.
