How do I bulk upload my products to Point of Sale?
If you are editing or adding a lot of new product information to Point of Sale, we recommend importing the changes by uploading an Excel or CSV file.
To get started, log in to your Point of Sale online and go to the Products tab.
Adding products for the first time
- Download the template file by clicking Import and then downloading.
- Once done, open it in your preferred software (Excel or Numbers, for example).
- The template file contains several columns with headers such as Name, Price & Stock amount.
Note: Please don't edit the column headers, as this will result in an error when you upload it.
What information should I put in each column?
- Name: Your product's name can be a mix of letters and numbers. This field is required.
- Custom unit: A measurement unit if your product is sold in kg, mg, ml, or similar. You can have a max of 4 letters for your unit name.
- VAT: Add your VAT rate for the product, e.g., 20. Exclude the % symbol from your entry.
- Option 1 Name: This is where you can add a product variant. Name your variant type in this column, e.g., Color.
- Option 1 Value: This is where you will list the product variations, e.g., Red, Blue, and Green. List them below each other, not in the same cell.
- Option 2 Name: You can continue to add variants, e.g., Size.
- Option 2 Value: Add your values, e.g., Small, Medium, Large. This should result in your file having 3 Red, Blue, and Green records. Each has S, M, and L sizes.
- Option 3 Value & Name: You can repeat the above if you have further variations.
- Price: Enter the price of your product, or leave it blank if you want to enter it during checkout.
- Cost Price: This is the price you paid for the item from your supplier.
- Barcode: If you have a barcode, enter the barcode number here.
- SKU: Stock Keeping Unit. This is a unique ID you assign to each item to track inventory. Numerical or alphabetical values only.
- In Stock: The amount of stock you have for any product.
- Variant ID: Leave this column blank.
- Product ID: Leave this column blank.
Uploading your file
Once you've added all the information to the file, save it in either .xsxl (excel) or .csv (universal) and drag it into the upload area. You can also click on Upload from computer to choose a file from your hard drive.
The file upload may take a few minutes, depending on the size.
Note: We can only accept 2000 rows in the file per upload. If you exceed this number of rows in your file, please upload your library in batches per 2000.
Once the loading finishes, you can preview the changes in the file. This step may include errors that need correction. In that case, edit the file based on what's required and re-upload.
If there are no errors in the file, you will get a preview of the changes in your file.
If everything looks good, click Import. This may take a few minutes as we create products in your library. Once the import is successful, your product library will be populated with products.
Editing multiple products at once
The easiest way to make updates in bulk is to Export your library to a .xlsx file and then re-upload with changes.
You can do this by:
- Go to the Products tab in your Point of Sale online.
- Click Export; the file should automatically download in your browser.
- Open up the file in your desired software (Excel or numbers).
- Make the changes following the guidance above.
- Save the file to your computer.
- Go back to your Point of Sale online and click Import.
- Select the file to upload.
- Review the changes and import.
If there are no mistakes in the file, your products will be updated.
Good to know
- VAT rates are applied to products and must be the same for variants – hence the order of the columns.
- Supported formats are .xls, .xlsx, and .csv.
- Folders can’t be edited using this sheet.
- Please do not add more than one tab in the file.
- We can only accept files with less than 2000 rows. If you want to import more products than this, please upload them in batches.
- Please ensure there are no duplicated product names.
